  • General Summary

    Alston & Bird is seeking a Legal Administration Assistant to work with Alston & Bird’s Special Resources Group, starting as a temporary with the prospect to become a full-time position.  They will perform a variety of administrative duties, including type and revise correspondence, memoranda, documents, time sheets and project work; proofreading and ensuring quality of all document action; telephone and mail distribution; coordinate travel arrangements; maintain files. The Legal Administrative Assistant should have work experience in administrative skills, word processing skills, general office procedures and filing techniques, along with the capability to concentrate on detail and organize work, and the ability to work with a wide spectrum of individuals.

    Essential Duties

    • Maintain a regular work schedule. Regular office hours are from 8:30 a.m. to 5:00 p.m. Monday through Friday and should be consistently observed.
    • Document production including correspondence, legal documents, memoranda, bills, time sheets and project work.
    • Proofread and redline documents, correspondence and memoranda to ensure accuracy of copy, grammar, and punctuation.
    • Provide professional telephone coverage, route calls, take messages as necessary and act as a liaison between attorney and/or paralegal and the client.
    • Organize conference calls as needed.
    • Handle incoming and outgoing mail.
    • Coordinate travel arrangements, securing air, hotel and car arrangements for attorneys and clients.
    • Set up and maintain client files and attorney files and keep all filing current.
    • Enter attorney time records into the time entry system, as requested.
    • Coordinate conferences, meetings and appointments for attorneys and clients including conference room scheduling, meals and preparation of materials.
    • Maintain calendar of meetings and business trips, apprising attorneys of responsibilities in advance of commitments.
    • Coordinate preliminary conflict searches with the Records Center to ensure attorney and Firm ability to represent prospective clients.
    • Prepare and proofread attorney client bills prior to attorney approval.
    • Perform a variety of administrative functions as required by supervisors, including processing new client/matter reports, expense reports, prepare notebooks and exhibits, pay client bills and process attorney expenses.
    • Maintain the confidentiality of all client and firm matters, recognizing that there should be no comments or discussions at all, either in public areas, elevators or restaurants.
    • Be a team player and help fellow workers and/or other attorneys – the office functions on a team relationship and therefore, it is essential that the Legal Administrative Assistant be not only willing when asked, but volunteer when time permits to assist with overflow work when not busy with work from assigned attorney(s).
    • Support the foundations of Top Echelon, as well as the Firm’s Standards of Service Excellence.
    • Participate in coordinated floor meetings, social events and T.E. Time as often as possible to build camaraderie and team spirit.
    • Attend training classes to maintain an acceptable level of performance in the Firm’s technology.
    • Create and revise Excel spreadsheets and Powerpoint presentations.
    • Other duties as assigned.

    • Ability to accurately type at an appropriate speed.
    • Ability to utilize computer equipment accurately.
    • Ability to express self-effectively, both orally and in writing.
    • Ability to establish effective working relationships throughout the Firm, including the skills to be a team player and work with a wide variety of individuals.
    • Ability to effectively handle telephone contacts when attorneys are not available.
    • Ability to concentrate on detail and organize work.
    • Thorough knowledge of Firm systems and procedures to efficiently meet client and attorney demands.
    • Thorough command of the English language, including excellent spelling, grammar, punctuation, and forms.
    • Thorough familiarity with legal terminology pertinent to the area of assignment.
    • Enthusiastic and able to exhibit a good attitude about their work and the Firm.
    • Maintain good organizational skills.
    • Ability to listen to and communicate effectively with others.
    • Be committed to supporting and interacting with others.
    • Exercise good judgment
    • High school diploma or equivalency.
    • Associates or bachelor’s degree is not required but preferred.
    • Previous legal experience of 3-5 years in a related environment.
